The Oprah Winfrey Leadership Academy for Girls (The Academy) is a residential boarding school with just over 300 students enrolled in Grades 8 -12. Grade 12 students write the Independent Examination Board (IEB) National Senior Certificate (NSC) Examination.

The Academy is looking to appoint a permanent, full–time Head of Operations. Only suitably qualified and experienced applicants will be considered for this position.

- A tertiary qualification preferably in Information Technology/ Knowledge Management, Business Administration or any other relevant field.
- A postgraduate degree will serve as an added advantage.
- A minimum of five years’ experience in a similar role.
- Proven people management experience.
- Practical experience comprising of the overall management of Risk & Security and Facilities is required.
- Experience in managing Transport, Information Technology and Catering will serve as an added advantage.
- Extensive project management experience.
- Proven procurement and contract management experience.
- Proven budgeting and financial forecast management skills.
Purpose
- To ensure that the Academy’s operations and services are aligned to the overall strategy in terms of resources, people and processes;
- To provide leadership, planning and control, resources and logistics for all Academy operations and services;
- To direct the co-ordination, development, acquisition, implementation and support of all operations and services for all the Academy stakeholders;
- To direct and lead all operations to facilitate the maximisation of resources to achieve internal and external customer satisfaction, productivity, risk management, economic goals and adherence to relevant Academy policies and procedures;
- Provide strategic direction to the Catering, Information Technology, Facilities, Safety and Security including Transport units.
Responsabilities
- Develop a well thought operations strategy which supports the productivity and effectiveness of the Operations Team in support of the OWLAG Board of Directors, EXCO and the Academy to advance the mission of the Academy;
- Plan and monitor the day-to-day running of Academy Operations Department;
- Contribute to address future operational needs and strategies as an integral component of the institutional planning process;
- Initiate and oversee the development and periodic review of policies and procedures and ensure legislative and organizational compliance and alignment with strategy and ensure implementation and adherence;
- Work with the Finance Manager to source new suppliers, review contracts and the performance of existing contractors in line with the Academy’s procurement policy.
- Ensure contracts are up-to date for all suppliers;
- Compile annual budgets and quarterly forecasts together with the Finance Manager.
- Continually scrutinise expenditure with a view of waste elimination and realisation of savings;
- Lead and manage the Operations Department and its performance thereof;
- Identify and report all issues related to risks within the Academy and adhere to all safety regulations and in particular the Occupational Health and Safety regulations.

Project Coordinator

The Academy is looking to appoint a Permanent Full–time Project Coordinator. Only suitably qualified and experienced applicants will be considered for this position.
- Excellent project management skills;
- Excellent communication skills – written and spoken English with experience in drafting high quality correspondence, proposals and reports and presentation skills;
- Above average computer skills (Word, Excel, Powerpoint, emails, etc);
- Evidence of experience in establishing and managing digital information, keeping records and managing databases;
- Sound evidence of strong problem solving ability and initiative ability skills;
- Ability to compile a high level research document when provided information as well as initiative of how to find such information required to complete high level report;
- Evidence of experience in multi-tasking under continual pressure to deliver;
- Ability to communicate with people at all levels and across the Academy’s internal and external stakeholders (Board, Executive, staff in general);
- Evidence of sound interpersonal skills demonstrated through effective solving of problems;
- High level of professionalism;
- Knowledge of the Academy’s values and exemplifies behaviours of Respect, Honour, Service Excellence, Compassion, Responsibility and Accountability.
- Works with the highest integrity and ethics adhering to the Academy’s policies and regulations.
- Bachelor’s degree in Social Sciences or related field;
- A recognized Project Management qualification;
- 3-5 years’ experience in a similar role;
- Experience in coordinating/ supervising or managing a project team and evidence of drafting project plans;
- Proven research, report and proposal writing experience;
- Proven project management experience;
- Evidence of experience in establishing and managing digital information, keeping records and managing databases;
- Project budgeting experience.
Purpose
The main purpose of this position/job is to support the Executive Director with the successful coordination and execution of projects as well as collaborate with relevant stakeholders to ensure a smooth flow of such projects.
Responsibilities
- Managing projects in the Office of the Executive Director from end to end;
- Coordinating the exchange of information and decisions emanating from each project with relevant stakeholders including following up on action items;
- Planning, researching and writing reports and proposals for different stakeholders on behalf of the Executive Director;
- Planning resources including human resources for each project;
- Developing and monitoring the budget for each project.
